Privacy policy

caiOS labs ("we", "us") builds custom software for businesses. This policy explains what personal information we collect through this website, why we collect it, and what we do with it. We have tried to write it in plain English rather than legal boilerplate.

What we collect

We only collect information you choose to give us:

  • Contact form submissions. Your name, work email, company, optional phone number, the type of work you're interested in, your timeline, and whatever you write in the message field.
  • Email correspondence. If you email us directly, we keep that correspondence so we can respond and maintain a record of the discussion.

We also keep a simple count of page visits, described under Analytics below. We do not run advertising trackers, behavioral profiling or third-party marketing pixels on this site.

Why we use it

  • To reply to your inquiry and discuss whether we can help.
  • To prepare proposals, scopes and quotes you have asked for.
  • To keep records of our business communications.

We do not sell your information, rent it, or add you to a marketing list without you explicitly asking to be on one.

Who else sees it

A small number of service providers process this data on our behalf, strictly so the site and our email can function:

  • Our website host, which serves these pages and keeps standard server logs including IP addresses for security and troubleshooting.
  • Our form provider, which receives contact form submissions and forwards them to us by email.
  • Our email provider, which stores the resulting correspondence.
  • Our analytics provider, which counts page visits in aggregate. See Analytics below.
  • Our map tile provider, which serves the background imagery for the map inside our product demo. They see the request for each map image, including your IP address, as any image host would. We send them nothing about you, and the map appears on no other page.
  • Our email and SMS providers, which deliver messages sent from inside our product demo when sending is enabled. Real delivery is restricted to an allowlist of our own contact details — the demo cannot be used to message anyone else, and for everyone else sends are recorded in the demo only, with nothing transmitted.
  • Our AI provider, which powers the assistant inside our product demo when it is enabled. If you use the assistant, your messages and the specific demo records needed to answer or act on them are sent to the provider to generate the reply. The demo's data is fictional unless you typed something into it yourself; the demo database as a whole stays in your browser and is not uploaded. We use this only to serve your request, and we do not permit it to be used to build a profile of you.
  • Our payment processor, if you buy a product from our shop. Checkout happens on the processor's own site via the link on the product — they handle your card details and billing address under their own privacy policy, and we never see your card number. We receive only what we need to deliver the product: your email address and what you bought.

Beyond these, we share your information only if the law requires it.

Almost everything this site needs — fonts, styles, images and scripts — is served from our own domain. There are two exceptions. The first is the analytics script described below, which your browser fetches from our analytics provider. The second applies only if you open our product demo and go to its service-region map: that map's imagery is loaded from a map tile provider, so your browser requests those images from them. No other page loads map tiles. There are no advertising networks, social widgets or marketing pixels anywhere on this site.

Analytics

We count page visits so we can tell which pages are useful and whether anyone is finding us. We chose a provider that measures traffic in aggregate rather than building profiles of people:

  • No cookies are set, and nothing is stored on your device.
  • No persistent identifier is created for you, so you are not followed from visit to visit or across other websites.
  • What is recorded is the page you viewed, the referring site, and coarse details like country, browser and device type — not you personally.
  • Your browser loads the analytics script from our provider, so they see the request. They process it as a visit count on our behalf; they do not use it to build a profile of you or follow you to other sites.

We use this only to understand traffic to our own site. It is not used for advertising, not sold, and not combined with your contact form submission.

Cookies

This website does not set cookies — not for analytics, not for anything else — so there is no cookie banner to dismiss. There is no advertising technology on the site. If that ever changes, we will update this policy before it does.

How long we keep it

We keep inquiry correspondence for as long as there is a live business conversation, and for a reasonable period afterwards so we have a record of what was discussed and quoted. If you ask us to delete your information, we will do so unless we are legally required to retain it.

How we protect it

This site is served over HTTPS. Access to inquiry data is limited to the people at caiOS labs who need it to respond to you. Our providers are chosen for their security practices, and we review that choice periodically.

Your choices

You can ask us at any time to:

  • tell you what information we hold about you;
  • correct anything that is wrong;
  • delete your information;
  • stop contacting you.

Email hello@caioslabs.net and we will action it. Depending on where you live, you may also have rights under laws such as the GDPR or state privacy legislation; we will honor those requests regardless of whether they are legally required of us.

Children

This is a business-to-business website. It is not directed at children and we do not knowingly collect information from anyone under 16.

Changes to this policy

If we change how we handle your information, we will update this page and change the date at the top.
